Privacy notice

Information about your cycle, your pregnancy and your health is among the most private there is. This notice explains what LVNDOC collects, why, who sees it and the choices you have. It covers this website, the LVNDOC app and requests for a home care enquiry. Clinical services are planned. Any future clinical record system will need its own privacy information before use.

Who is responsible for your information

LVNDOC is the data controller for information collected through this website. Ghana's Data Protection Act, 2012 (Act 843) governs how we handle personal information.

What we collect

Information you give us

You can share information through a form, email or a linked messaging service, for example to ask about planned home care or a partnership.

  • Your name, phone or WhatsApp number and email address.
  • The area where you live, and the day and time you would prefer a visit.
  • The kind of visit you are asking for, which can show that you are pregnant or have recently given birth, and, if you choose to tell us, the month your baby is due.
  • Any message you write.
  • For employers, partners and clinicians: your organisation, your role, and any professional registration you choose to share.

Information collected automatically

The services that host and deliver these pages may process technical information, such as your IP address, browser type and page requests. The website code does not include advertising trackers.

The LVNDOC app

The tracker saves the periods, symptoms, moods, notes, due date and checklist ticks you enter in your browser's storage on your own phone or computer. They are not automatically sent to LVNDOC. There is no tracker account or server backup. Sending a care enquiry is a separate action that shares the form details you review before sending.

Because the information stays on your device, it is as private as the device is. Anyone who can open your phone and your browser could see it, so use the app on a device that is yours. Clearing your browser's data can remove it. Moving to another device does not transfer your entries. You can download a copy or delete the saved tracker entries from the Me tab. Exported files remain wherever you save or share them, and are not removed by deleting browser entries.

If you send a care enquiry from inside the app, the details shown in the form are shared with the team and its delivery providers. Your full tracker history is not attached. The app may fill in your name and your due month for you to check, and you can clear them before you send.

When you ask for a visit, on this website or in the app, a short record of the request is also kept in your own browser, so that you can see it later under Care in the app: the kind of visit, your area, the day and time you preferred, and the name and number you gave. It stays on your device, and deleting your data from the Me tab removes it.

If a form cannot be sent from this website, it offers to open the message in your own email or WhatsApp for you to send yourself. A visit request opened in WhatsApp carries only your name, your number, your area and the day and time you prefer. WhatsApp is a separate service with its own privacy terms.

Information about your health

Telling us that you are pregnant, or when your baby is due, is information about your health. The law treats this as special personal data. We only collect it when you choose to give it and agree to our using it, and we ask for the least we need. Please do not put medical details, records or urgent symptoms in our enquiry forms. The tracker is a personal journal and does not create a clinical record for a care team.

Why we use your information

  • To respond to your enquiry about planned care or availability.
  • To reply to your message using the contact details you provide.
  • To plan where and when we offer services.
  • To respond to employers, partners and clinicians who write to us.
  • To keep this website secure.

The enquiry form asks for your agreement to use the details to respond to that enquiry. Contact us if you want to withdraw that agreement or request deletion. Deletion may be limited by a legal requirement to retain particular information.

Who sees your information

  • The LVNDOC team members who need it to do their work.
  • Providers used for website hosting, email delivery or enquiry processing. Your email or messaging provider also processes messages you choose to send through its service.
  • Regulators, courts or law enforcement where the law requires it.

The tracker has no employer, insurer or clinician portal. It does not automatically share your entries with those parties. If you export and share a copy, the recipient can read that copy.

Where your information is kept

Tracker entries remain in the browser where you enter them. Hosting and message delivery providers may process enquiry details outside Ghana. Contact us for information about the providers used for your enquiry.

How long we keep it

Browser entries remain until you delete them, the browser clears them or storage becomes unavailable. Copies you export remain under your control. For an enquiry you have sent, contact us to request access or deletion. A clinical record retention policy will be provided before clinical services begin.

Your rights

Under the Data Protection Act you can ask us to:

  • Tell you what information we hold about you and give you a copy.
  • Correct information that is wrong or out of date.
  • Delete information we no longer need.
  • Stop using your information, or stop contacting you for marketing.

Write to privacy@lvndoc.com. We may ask for proof of who you are before we act, to protect you. If you are not satisfied with our answer, you can complain to the Data Protection Commission of Ghana.

Children

Our forms are for adults aged 18 and over. We do not knowingly collect information from anyone under 18 through this website.

Security

Browser storage is not a separate password protected health vault. Protect your device and exported files, especially on a shared computer. Use the website through an HTTPS connection when sending an enquiry. No website or device can guarantee absolute security.

Changes to this notice

We will update this notice as our services open, and the date at the top will change when we do. Changes to data collection will be explained before new features request that information.
